Digital transformation is no longer a future ambition for asset-intensive industries. It is now essential for improving asset performance management, maintenance efficiency, and long-term reliability. In a recent webinar discussion with ReliabilityWeb, industry leaders shared how AI, asset performance management (APM), and digital tools are reshaping operations and maintenance to improve safety, reliability, and culture across organizations managing complex and aging assets.

Why aging assets and scattered data hurt reliability

Many organizations today operate aging equipment while relying on fragmented information sources. Maintenance history often lives in logbooks, spreadsheets, or disconnected systems, making it difficult to diagnose problems efficiently.

As one reliability leader highlighted, engineers can spend up to 60% of their time simply searching for information, rather than solving problems or improving performance. Manual data collection and reactive maintenance approaches lead to higher downtime, escalating costs, and compliance risks.

How digital transformation improves maintenance and asset reliability

The move to digital platforms has fundamentally changed day-to-day operations:

  • Maintenance and inspection data is captured digitally, often on mobile devices, even in offline environments.
  • Information can be searched, analyzed, and reported in seconds rather than hours or days.
  • Engineers and operators gain faster access to the right asset information at the right time, improving both reliability and safety.

Using standardized data entry and descriptive condition codes ensures consistency. This foundational data becomes critical input for analytics and AI-driven insights.

How APM helps teams move from reactive to predictive maintenance

For many organizations, APM initiatives began as a response to rising failures, maintenance spend, and unplanned downtime.

Teams started to systematically record failure modes, maintenance behaviors, and asset conditions by introducing:

  • Reliability-centered maintenance (RCM) strategies
  • Equipment quality analysis (EQA)
  • Computerized maintenance management systems (CMMS) integrated with APM

The result was measurable reductions in failures and downtime, along with more structured and defensible maintenance decisions.

Simple innovations—such as tagging equipment with QR codes—also reduced human error by ensuring that operators always accessed the correct asset data in the field.

How AI supports asset performance management teams

For reliability and maintenance teams, AI can help surface failure patterns, prioritize risk, and make asset performance data easier to act on. When data quality is high, AI can:

  • Analyze vast datasets to identify patterns in failures and downtime
  • Summarize plant performance for senior management in near real time
  • Highlight risk hotspots and areas for proactive intervention

Importantly, the panel emphasized that AI does not replace people. Instead, it amplifies human expertise, freeing engineers and reliability professionals to focus on value-added work rather than data hunting.

Today, a significant portion of operational data—up to 85%—can be analyzed and refined automatically, providing faster and more confident decision-making.

Why integrated asset data is critical for better asset performance

The true power of digital transformation emerges when systems work together. Integrating CMMS, APM platforms, and digital twin technologies allows organizations to:

  • Break down data silos
  • Combine operational, maintenance, and inspection data into a single view
  • Analyze asset health and lifecycle performance holistically

This integrated approach supports longer asset life, better sustainability outcomes, and improved safety performance—outcomes that are impossible when data lives in isolation.

Culture: The hardest part of digital transformation

Technology alone does not deliver transformation. Cultural change is often the biggest challenge.

Resistance typically comes from:

  • Comfort with existing ways of working
  • Limited visibility of the bigger picture
  • Scepticism around new digital tools

Successful organizations tackled this by investing in awareness, engagement, and training. Leadership buy-in proved essential—when senior management clearly linked reliability to production, safety, cost, and environmental compliance, adoption followed.

For experienced operators, digital tools were positioned not as replacements for their knowledge, but as ways to preserve, leverage, and scale that expertise across the organization.

How to build a stronger asset performance strategy

The message from the industry experts was clear: AI and digitalization are not quick fixes, but credibility builders. Starting with good data, clear failure modes, and well-defined strategies lays the foundation for long-term value.

For organizations beginning or continuing their journey:

  • Focus first on data quality and structure
  • Start with clear reliability and risk-reduction strategies
  • Integrate systems to create a single source of truth
  • Treat digital transformation as a cultural shift, not just a technical one

When done right, AI and APM move organizations from constant firefighting to proactive, informed, and sustainable asset management.
